    1. Unprofessional Phone Etiquette

    When a homeowner calls a business, they expect a professional greeting. If you answer the phone with a gruff "Yeah?" or "Hello?", you instantly lose trust. They are about to give you thousands of dollars to work on their home; they need to know you run a real business.

    The Fix: Always answer with your business name and your name. "Thank you for calling Elite Roofing, this is John. How can I help you today?"

    2. Failing to Establish Authority

    Many contractors let the homeowner dictate the call. The homeowner asks, "How much for a new AC?" and the contractor throws out a random number. You are the expert. You must control the conversation.

    The Fix: Ask diagnostic questions. "Before I can give you an accurate price, I need to know the square footage, the age of the current unit, and if the ductwork is accessible." This positions you as a professional diagnosing a problem, not just a laborer giving a quote.

    3. Leaving the Next Step Vague

    Never end a call with "Okay, I'll try to swing by sometime next week." That is how you lose a job to someone who gives a firm commitment.

    The Fix: Lock in a specific time on the calendar before you hang up. "I can be there Tuesday between 2:00 PM and 4:00 PM. Does that work for you?"

    4. The Follow-Up Failure

    You did the estimate, sent the quote, and then... nothing. You wait for them to call you back. They don't, because they got busy, and another contractor followed up and won the job.

    The Fix: You must have a systematic follow-up process. If you send a quote on Monday, you must follow up on Wednesday and Friday. If you don't have the time to do this manually, you must automate it.
